Revolutionizing Talent Acquisition: A Scrumban Approach for Enhanced Efficiency and Human-Centricity

With extensive expertise in Talent Acquisition and a firsthand understanding of its intricacies, our team ventured into an exclusive service for select clients, aiming for a more humane, agile, and streamlined approach. Recognizing the pitfalls of lengthy, often exhaustive processes leading to candidate attrition, we sought to overhaul the system, empathizing with candidates as individuals with unique contexts, histories, and cultures. Our goal was a mutually beneficial strategy for all stakeholders involved. 

 

Approach and Implementation


To augment our methods, team members pursued Agile PeopleOps Framework™ certifications and subsequently embraced Scrumban—a fusion of Scrum and Kanban methodologies. Scrumban offered the agility of change coupled with the identification of bottlenecks, providing us with a holistic perspective. Leveraging Jira Software, chosen for its compatibility with our workflow, we experimented and fine-tuned our process.

  • Reduced process statuses from over 10 to a lean 5, tailored to client types and industries. 

  • Standardized boards with 5 stages each, adapting seamlessly to diverse client requirements.

  • Utilized Epics and Tasks to complement boards, creating a roadmap for seamless navigation. 

  • Integrated the talent acquisition process with Onboarding and Learning & Development (L&D) processes for transparency and agility. 

  • Identified, defined, implemented, and improved the roles clarification, regarding Scrum Master, Product Owner, Hiring Manager, Recruiter, etc.


3. Centralized Information Management

  • Utilized Confluence to connect with Jira, serving as a wiki for comprehensive information organization such as participant details, job profiles, and client data.

  • Tracked all modifications, fostering accountability and traceability.


4. Guidance and Coaching

  • Mentored and coached all stakeholders on Scrumban methodology, standardization, agile-lean principles, and effective communication. 

  • Established reporting boards tailored to stakeholder needs, providing valuable insights.
